Welcome to us

The Quality Department is responsible for archives, registration, and committee processes. We coordinate the administration's work with planning and follow-up in ILS and stimulate innovation and development in operations. The department is also responsible for IT issues, procurement, and security work, as well as citizen influence and civil society issues.

As a Committee Secretary, you will be part of the secretariat unit, which is one of the department's five units. We are a small unit of seven people, including the unit manager, working with archives, registration, and committee administration. Here, you will support both the operation and the public with your competence, structure, and service mindset.

Your role

As a Committee Secretary, you will have primary responsibility for the administration and coordination of the district committee. You will have continuous contact with committee members and be a support to case officers, employees, and managers in their work to produce decision-making materials on a variety of issues. You will also be available to the public and guide them appropriately. Evening work is included about one evening a month in connection with committee meetings. You report to the unit manager.

Your main tasks include

  • being responsible for the district committee's case process
  • managing and administering everything related to committee meetings
  • supporting case officers and managers with decision-making materials and answering questions about the case process and systems
  • being an expert and providing support and training to managers and employees on issues related to information management and legislation governing the committee's operations
  • being an object specialist in the case and document management system eDok (Platina)
  • supporting administrative secretaries at meetings with the social delegation (the district committee's committee), councils, or administrative groups as needed
  • working closely with the registrar to provide uniform administrative support to the committee and administration
  • investigating and writing decision-making materials for certain cross-committee issues, such as when revising the district committee's delegation order.

Your competence and experience

We are looking for you who have:

  • a university degree in, for example, law, political science, or public administration or have other education/experience that we assess as equivalent
  • experience working as a committee secretary or in a similar role within public operations that we assess as equivalent and relevant
  • very good knowledge of the laws and regulations governing municipal decision-making, such as the Local Government Act, the Administrative Procedure Act, the Public Access to Information and Secrecy Act, and GDPR
  • very good knowledge of various programs in the Office suite and in digital document and case management systems
  • very good knowledge of the Swedish language, both spoken and written.

It is meritorious if you have:

  • experience working in corresponding areas of operations similar to a district committee, such as social services
  • experience with the document management system eDok (Platina)
  • experience working in registration.

In the role of Committee Secretary, you work independently and take clear responsibility for your tasks, while also being proactive and contributing to the development and efficiency of work methods and routines. You have a pedagogical insight that allows you to convey information clearly and accessibly and guide elected representatives, employees, and managers in the committee's processes and regulations. The role requires good collaboration skills, as you have many points of contact and work closely with both employees and political representatives.
